WHO
Everyone should actively use WokflowMax keeping time tracking on projects. Office admin is mainly responsible for making sure that everything is up to date.
WHEN
Everybody daily should add his time spent on projects and tasks. Also, as soon as there is a new Client, Project (Job) or Task it should be added to the program.
WHERE
HOW
Access the ACD projects by entering your email address and password (can be found in Google Sheets in ACD PW list)
Also, the system requires Two-step authentication, so you need the Authenticator app in your mobile to get a code for logging in.
Create a new Client
Go to the Dashboard > choose Clients > New Client > add the General information and Contact details
Save
Create a new Project (Job)
Go to the Dashboard > choose Jobs > New Job > describe the Job:
Select a Client (it should be added to the system before)
Add the Job Number (check the last added project from same Category) and all the required information
Add the Schedule information
Allocate staff (in most cases everyone should be added in case of vacations etc)
Save
Create a new Task
Go to the Dashboard > choose Business > General Setting > Tasks > New Task
Add the General and Billing information
Save
Time Tracking
Open My Time Sheet
Enter a date, Job, Task, Time (time can be added in several ways:
Press ‘start’ from the quick time entry feature, to record time starting from now.
Record time already worked by entering the start and end time.
Know your numbers? Simply enter the total hours worked
Save
Submit Time Sheet

WHY
We are using WorkflowMax to keep track our time spent on projects to be able to evaluate efficiency and to plan of what needs to be done within our projects, fees and in general in the future. It’s easy to forget the small things that needs to be done so it’s important to write down the tasks to make sure we get them done.
